Deed of Indemnity Sample Covering Letter

 

Below is a typical letter which an individual registering  a company and purchasing a nominee director, secretary or shareholder might expect to receive. The sample letter details what is required of the purchaser and explains what will happen to the information they provide.

"We have agreed to provide the service of Nominee Director - Secretary - Shareholder for the above company. 

In order to ensure that we comply with our internal procedure for companies for which we offer such a service, please complete the enclosed Deed of Indemnity showing details of the full name and address of the beneficial owners, regardless of the position shown by any shareholding. Once completed, please also sign where indicated on page 2 of the deed, in the presence of a solicitor, who should also apply his office stamp. This procedure will enable us to ensure that we can at all times comply with disclosure requirements in the event of any official enquiries into the company. Please note that this will not be disclosed for any commercial purposes to your clients.

In addition to the above we are now obliged to “know our customer” and in order to comply with this please supply us with copies of your passport or identity card together with a second form of identification with proof of address such as a driving licence or utility bill.

We will sign and stamp the document on receipt and forward a copy for your records.

We look forward to hearing from you as soon as possible so that we can update the statutory records of the company and provide the service you need.
